    Registering for your NHS Education ATHENS username and password
    (Why register?)

    You can apply for an NHS Education ATHENS username and password if you belong to any of the following groups :

    • Staff of NHS Scotland (including contractors such as general practitioner staff, community pharmacy staff, dental surgery staff (see full list) - Register
    • Undergraduate or postgraduate students working or training with NHS Scotland - Register

    • Social services, public library staff and other local authority staff working in partnership with the NHS - Register

    • Other partners including staff in higher and further education, Scottish Government staff, voluntary sector organisations, nursing homes, the armed services and patient/public representatives on NHS groups - see full list - Register

    Others may also be eligible. A full guide to who is eligible can be found here. If you are unsure which group you fit into, or feel you need access and don't belong to one of these groups, please get in touch with your local ATHENS administrator for advice.

    What if I don't fit into the categories for ATHENS passwords?

    You can still use The Knowledge Network resources and services. Find out more.

     

    Edit your Profile
    To get full benefit from The Knowledge Network, we suggest that you edit your personal profile and accept terms and conditions. This enables you to tag resources with keywords so that you can organise them, find them again easily and, share them with colleagues. The personal profile also allows you to share your experience and interests with colleagues.

     

     

     

  2. 2Benefits of registering for an Athens password

    This provides access to password-protected content - over 6000 full text journals, 80 databases and 5000 electronic books.

    This ATHENS password also enables you to create your own personal homepage in  The Knowledge Network - "My Home". Here you can choose your preferred Quick Links and News and alerts. You can also select collections of resources defined for key topics and staff groups.

    Your ATHENS username and password also enables you to create your own web space in the My Community Space and My Resource Space areas of The Knowledge Network. You can create and join online communities  - Shared Spaces and community websites. You can also save and share resources with others.

    If you edit your personal profile and accept terms and conditions you can tag resources with keywords so that you can organise them, find them again easily, and share them with others. Editing your personal profile also enables you to share your subject interests and experience with colleagues.

  3. 3Why register?

    Registering with The Knowledge Network gives you the following benefits:

    For all registered users - facilities to:

    • Customise The Knowledge Network homepage e.g. have your own list of favourite resources.
    • Save searches you want to repeat.
    • Share resources and communicate with colleagues through community websites and Shared Spaces.

    For registered NHSScotland staff, students and partners*:

    These groups have access to the password-protected content licensed from book and journal publishers (over 5000 online journals, over 80 major databases, over 5000 electronic books, Good Practice collections of management tools and techniques).

    Who are ‘NHSScotland staff, students and partners'?

    • Staff - anyone who works directly for or is a contractor with NHSScotland, including those providing training to NHS staff.
    • Students - undergraduate or postgraduate students working or training with the NHS. (Many students may have registered for ATHENS accounts from their university or college; these will give access to a different selection of resources.)
    • Partners - all individuals and organisation that provide services and support to the work of NHSScotland, including local authority staff, Scottish Executive, voluntary health sector, health care staff working in the armed forces, prison service, nursing homes, hospices, schools, etc, emergency services staff, members of the Scottish Royal Colleges, patient / public representatives on NHS groups.

    What resources can I access if I am not covered by "NHSScotland staff students and partners"?

    Many resources are freely available, including MEDLINE and the Cochrane Library. You can access the wider range of password-protected published content via public access computers on NHS sites (eg in Health Promotion Resource Centres). Some public libraries and Citizens Advice Bureaux will also help you to access these resources.

    If you register from a healthcare site connected to NHSNet (e.g. hospital or general practice.), your username and password should be sent to you immediately. If you complete the form from outside NHSNet, your application for a username and password will take 1-3 working days to process, as your application needs to be reviewed and approved.

  4. 4Eligibility to access password-protected journals, books, databases

    The following NHS Scotland staff, students and partners are eligible to receive usernames and passwords to access the password-protected full-text journals, books and databases

    The term authorised users comprises all individuals and organisations that provide services and support to the work of NHS Scotland. Core users are direct employees and contractors with NHS Scotland. Based on the patient journey model which forms the framework for the NHS Scotland Strategy for Knowledge Services, other eligible users include: the Scottish Executive; Local Authority staff involved in delivery of health services; health care staff in the prison service, nursing homes, armed forces, and hospices; members of Scottish Royal Colleges; the Voluntary Health Sector; undergraduate and postgraduate students working or training with the NHS; those providing education and training to NHS staff and students; researchers working in partnership with the NHS; all independent sector nurses; retired NHS staff. Staff in emergency services (police, fire brigade) will be entitled to access to support their partnership with the NHS in delivering emergency care. Staff in the private sector will also be entitled to access when they provide services and support to the NHS.

    In order to support the strategic emphasis on patient involvement in decision making, and the drive towards improvement of the health of the population through access to good quality health information and lifelong learning resources, note that walk-in access to password-protected e-Library journals, books and databases is permitted for patients, carers and the general public on public access workstations on NHS sites. In future, this access should be available from selected public libraries, Citizens Advice Bureaux and other community facilities. Please contact knowledge@nes.scot.nhs.uk for more information.

    Additional available to patients, carers and the general public include :

    • freely available resources. Note that many resources are freely accessible to all users, with no password required. This includes the Cochrane Library and MEDLINE, as well as many other high quality health information sources ;

    • Shared Space, community websites and personalisation - create your own personal web space, where you can save and share resources and subject interests with others and establish collaborative workspaces to work and learn together with colleagues. You can also keep up-to-date with news and new research journals through newsfeeds and alerting services.

     

  5. 5Registration process

    There are two options depending on where you are located when you register.

    Within NHSNet - If you register from a healthcare site (e.g. hospital or general practice connected to NHS Net.), your username and password should be sent to you immediately.

    Outside NHSNet - If you complete the form from outside NHSNet, your application for a username and password will take 1-3 working days to process, as your application needs to be reviewed and approved.

    If you have an Academic/University/College Athens account, you will still need to register separately for a Knowledge Network Athens account, which provides access to a different collection of resources.

  6. 6NHSNet Applications

    If you have access to a computer on NHS Net, you can receive your username and password instantly after submitting your registration details, however your account will not be recognised by The Knowledge Network until the working day following the account creation, but access to subscription resources such as electronic journals and databases should be available shortly after your account details are received.

    To register for an Athens username to access resources :

    • Go to The Knowledge Network home page – www.knowledge.scot.nhs.uk

    • Click login/register

    • Read the user information on screen

    • Click the Register link next to the appropriate user group you belong to

    • Click your NHS Board or Group from the list displayed

    • Read the Terms and conditions of usage of electronic resources

    • Click agree to abide

    • Type in your details and click Submit details

    Note: Take a note of you password at this stage.

    Successful Registrations

    • a confirmation message should appear on screen with your username.

    • an email will be sent to your email address stating your log in details.

    Please note that if you are a permanent member of staff or a student then a leaving date is requested.

    There is usually an expiry date of 2 years on accounts for permanent members of staff. This is for NHS Education Knowledge Services Group staff to check periodically with you to ensure you have not changed jobs, organisations etc. You will be sent an email about a month before your account is due to expire asking you to renew your account.

    Log in free access
    It is now possible to access some resources from within the NHS premises without the need to log in. Currently this includes OVID databases, OVID abstracts from search results, BMJ Best Practice and Dynamed.

    However we do recommend you log in from The Knowledge Network homepage in order to:
    1. Access full range of resources
    2. Use personal OVID accounts to save searches etc
    3. Use personal settings on The Knowledge Network

  7. 7Applications from outside NHSNet

    Step 1

    • Go to The Knowledge Network home page – www.knowledge.scot.nhs.uk

    • Click login/register, at the top right of the screen.

    • Read the user information on screen

    • Click the Register link next to the appropriate user group you belong to

    • Click your NHS Board or Group from the list displayed

    • Read the Terms and conditions of usage of electronic resources

    • Click agree to abide
    • Type in your details and click Submit details

    You should see confirmation on the screen that your application has been submitted

    Step 2

    • An email is automatically sent to the email address you supplied asking for confirmation of that address.

    • If you do not receive this email, check your junk or spam folders in case it has been sent there. The other possibility is that you may have provided an incorrect email address. Please contact your local Athens Administrator or email Athens.admin@nes.scot.nhs.uk to verify this.

    • The email includes a validation link

    • Click the validation link

    • If link is OK you should see confirmation accepted on screen

    • If not, please contact your local Athens Administrator or email athens.admin@nes.scot.nhs.uk asking them to validate your link.

    Step 3

    When your local Athens administrator has approved your registration request you will receive another email confirming this.

    If you do not receive email confirmation within a week please contact your local Athens administrator in case there is a problem with your registration.

     

    Step 4

    When your account has been created you will be sent a confirmation email and you can begin using your personal username and password. Please note that your account will not be recognised by The Knowledge Network until the working day following the account creation, but access to subscription resources such as electronic journals and databases should be available shortly after your account details are received.

  8. 8Log in free access

    Within NHS premises you have log in free access to some resources.

    Currently this includes OVID databases, OVID abstracts from search results, BMJ journals and Dynamed.

  9. 9Reset your password

    If you lose your login details you will need to contact your Athens Administrator athens.admin@nes.scot.nhs.uk to get your username.

     

    Forgotten Password

    1. Go to www.knowledge.scot.nhs.uk

    2. Click the Login link at the top right of the homepage

    3. From the login box, click the Forgotten your password link.

    4. Enter the Athens username and the email address that you registered with.

    5. Click Submit

    6. Check your email account for your reset password.

    7. Got to http://www.athens.ac.uk (MyAthens)

    8. Click MyAthens in the left menu

    10. Click My Account from the navigation.

    11. Go to the Change your password box on the right side of the page and follow the instructions.
